What it is

Two public pages feed your CRM without anyone logging in.

An enquiry link is a short form you put on your website, print as a QR on hoarding or drop in an email: name, email or phone, company, what the project is, where it is. Each submission creates a new lead, matched to an existing company or person where it can, with a first-response follow-up due today.

An intake link goes to the client of a lead you already have. It opens a form prefilled with what you know about their company, contacts and project, marks what is missing, and asks them to confirm or correct it and attach plans, photos and briefs. What they change is applied to the lead and written up as a note so you can see what moved.

Before you start

  • Enquiry links are made on CRM → Leads under Enquiry links: give it a label for where it will live ("Website", "Hoarding, Newstead") and press create. Each link shows its address, Copy, QR for print, and Retire (Restore brings it back). A retired link shows "This enquiry link isn't available".
  • Intake links are sent from a lead. In the lead's detail, Send intake link to an email (prefilled from the primary contact) and Send. The bar then shows Sent, Viewed, Submitted or Expired, with Copy and Resend. The link lasts 14 days.
  • Both links are credentials in the plain sense: an enquiry link lets anyone create a lead in your CRM (it is meant to be public, and is rate limited and bot-filtered); an intake link lets whoever holds it see and edit that one lead's company, contacts and project details and upload files to it. Send the intake link to the client only.

How to

What an enquirer sees

  1. Your logo or business name, Tell us about your project and "A couple of details and we'll get back to you — usually the same day."
  2. Your name (required), Email and Phone (one of them required), Company (if any), What's the project? (required) and Site address (if known). A footer says the details go to your business and nowhere else.
  3. Send enquiry. They see "Thanks — your enquiry is in. [Your business] will be in touch shortly."

Record an enquiry (Base, on your side)

  1. Base creates a lead at the enquiry stage with the source and project type set on the link. The company is matched by name in your directory or added as a client; the person is matched by email, then phone, or added, and linked to the lead as its contact.
  2. The enquiry text, site and contact details are written as the lead's first note. A follow-up call is due today for the first response, on the follow-up rail and in My Tasks.
  3. If they left an email, Base emails them an acknowledgement from your business. If they did not, a note on the lead says no reply went out.
  4. Your admins are told in their Base inbox, with a link to the lead. This notice is on by default.
  1. Help us prep your quote: "We've filled in what we know about [the project]. Please add anything missing, and correct anything that's wrong."
  2. Three blocks. Company: name, ABN and website. Contacts: each person with name, email, phone and role, a Primary marker, Add another contact and remove. Project details: tenancy address, shopping centre, lease start date, project type, premises condition, council approval and "Anything else we should know?". Then Plans, photos & briefs for uploads.
  3. Every field is marked either Confirm or edit (you had it) or Needs your input in amber (you did not).
  4. Submit my details. At least one contact name is required; everything else can stay blank. They see "Thanks — we've got everything. Your details are with your account manager." Opening the link again after submitting shows the same thanks page.

Record an intake (Base, on your side)

  1. The company's name, ABN and website and the lead's address, dates and project details are updated from the form. Contacts are updated, added and marked primary as the client set them. The client cannot touch stage, value, margin or assignment.
  2. A note on the lead lists the changes ("Client updated intake details (4 changes)") or "Client confirmed intake details (no changes)", and any extra note they wrote is kept as "Client note".
  3. Files land in the lead's documents.
  4. The intake bar on the lead turns Submitted. The assistant can triage the completed intake and suggest the next step if you turn that automation on; it is off by default.

What happens on its own

  • Opening an intake link flips its status from Sent to Viewed so you can see it was read.
  • Resending an intake link emails a fresh link to the address you give; the bar updates to the new send.
  • An enquiry with a hidden field filled in is dropped silently as a bot. Too many enquiries from one source are refused for a while.
  • Nothing on either page assigns the lead to a person, prices anything or moves the stage past enquiry.

Things that surprise people

  • The enquiry form matches an existing person by email, then phone. A repeat enquirer with a new email becomes a new contact linked to the existing company only if the company name matches.
  • An enquirer's acknowledgement email comes from your business through Base's email rail. It is sent only when they gave an email.
  • The intake link prefills from the lead as it stands; if the lead has no contacts yet the client sees an empty contact row to fill.
  • The intake link cannot be used to see anything about the job beyond those three blocks and its own uploads. Plans you attached in Base are not shown to the client here.
  • Retiring an enquiry link stops the form, but the QR you printed still points at it. Restore it, or reprint the new link's QR.
