How the side nav is organised, what a workspace is, and how to switch.

The nav and workspaces

What it is

The side nav on the left of every screen. It is one list of pages seen through a lens called a workspace: Estimating, Delivery, Money, Workshop or Everything. A workspace shows the pages for one kind of work and hides the rest, so an estimator is not scrolling past timesheets to reach the rate book. Inside a job the same nav swaps to that job's sections.

Before you start

  • Nothing. The nav is there from your first login. The modules an admin has switched on (Settings → Team modules) decide which pages exist at all; a workspace can only narrow that list, never widen it.
  • The Workshop workspace appears only when the Joinery, Workshop or Design module is on.

How to

Switch workspace

  1. Press the BASE lockup at the top of the nav. The word under BASE is your current workspace (BASE / ESTIMATING, for example), led by a dot in that workspace's colour. Everything reads BASE / MANAGEMENT.
  2. Pick Estimating, Delivery, Money, Workshop or Everything. Each row carries a one-line description of what it is for.

The nav redraws. Five rows never move, whatever the workspace: Dashboard, My Tasks, Projects, Comms and Contacts. Below them come the workspace's own pages, then a collapsible More tail (Automations, Scratchpads, AI Memory, Email Studio, Teams and the Docs link). Your pick is remembered on this device.

Let the workspace follow the job

Nothing to press. If you are in Estimating or Delivery and open a job, the nav shows the workspace that matches the job's status: a quoting job shows Estimating, a won job shows Delivery. Money and Workshop stay put. If you switch workspace while inside a job, the menu notes "Switched for this job only"; your usual workspace comes back when you leave the job.

Move around inside a job

  1. Open a job from Projects. The nav becomes that job's sections, grouped under headings such as Price it, Plan, Site and Close (or, in Everything, by lifecycle stage).
  2. Press the job's name at the top of the nav to switch to another job. The picker has a search box and Recent / Name / Status sort chips, and All projects view at the foot.
  3. Press All projects to leave the job.

Collapse the nav to icons

Press the small panel icon at the top right of the nav (Collapse navigation to icons). Press it again to expand. Collapsed, the account button at the foot expands the nav rather than opening the menu.

Open your account menu

Press the row at the foot of the nav showing your initial, name and business. The menu holds Profile, Settings, Billing (admins only), MCP Connections, a Theme toggle and Sign out. Settings opens the hub where everything that used to be a nav section lives.

Find out what a page does

Press What is this page? above your account row. A help panel slides in with what the screen is for, what you can do here, and questions worth asking Base about it. What happens on its own

  • Your starting workspace is read from the role you gave at sign-up: owners, directors and estimators start in Estimating; site and delivery roles in Delivery; commercial and bookkeeping roles in Money; joinery roles in Workshop. Anyone whose role does not say starts in Everything. Once you pick a workspace yourself, that pick wins.
  • A workspace your modules do not include falls back to Everything rather than showing an empty nav.
  • Collapsible groups open themselves when they contain the page you are on, and remember whether you left them open.
  • Count badges on job sections (Estimate, Client, Documents, Orders, Invoicing) and the proposals badge on AI Memory update as the data changes.
  • The notification bell sits above What is this page? and shows your unread count.

Things that surprise people

  • A page in several workspaces is the same page. Procurement appears under Delivery, Money and Workshop because each kind of work includes it; there is one Procurement screen.
  • Opening something from the More tail does not change your workspace.
  • Workspaces are per device, not per account. A new laptop starts from your role default until you pick one.
  • Settings is not in the nav. It is behind your account menu at the bottom, because the nav is for places you go to do work.
  • The nav never shows a page your admin has switched off, in any workspace. If a colleague sees Timesheets and you do not, it is a module setting, not a workspace one.
