My Tasks

What it is

Every open task in the business, across every active job and every lead, on one screen. Three ways to look at the same list: list (by due date), board (by status) and timeline (one lane per job, with milestones). Tasks come from you, your team and the assistant's regular review of each job. Per-job task lists live inside each project; this is the whole portfolio.

Before you start

  • At least one job in Quoting, Pre-construction, Awarded or In Progress, or a lead with a follow-up. Completed and archived jobs drop off this screen.
  • Nothing is module-gated here.

How to

Choose a view

Press list, board or timeline at the top right. The timeline is the default on a desktop; on a phone it is not offered and the list opens instead.

  • List groups by due date: Overdue, Today, This week, Later, No due date.
  • Board has three columns: To do, In progress, Waiting · Blocked.
  • Timeline draws one bar per active job from start to handover, filled to show programme completion, with milestone diamonds. Press a job's name to unroll its programme; press a diamond to see the tasks feeding it.

Filter the list

Use the filter bar: All projects or one job; Everyone, Mine, PM Agent, Unassigned or a team member; Any priority or one level; and Search tasks…. Filters apply to all three views.

Change a task's status

  • Press the circle at the left of a row (Mark done) to complete it.
  • Use the status menu on the row to set To do, In progress, Blocked, Waiting, Done or Dismissed.
  • On the timeline, a drilled-in task offers Start (in progress) and Mark done.

The change is saved at once and the list updates. If the save fails, the row goes back and a message asks you to try again.

Open a task

Press the task's title. The task panel shows the title and details (edit them and press Save changes), plus Status, Priority, Due and Owner (you, a team member, Anyone, or the PM agent). Add files, link other documents on the job, and leave a note on the task's activity record. Three buttons at the foot:

  • Send to AI hands the task to the PM agent, which attempts it with its tools and reports back.
  • Discuss in chat opens a conversation with this task loaded as context.
  • Mark done completes it and closes the panel.

Sort unscheduled work

When open tasks have neither a due date nor a milestone, a Needs scheduling tray appears with the count. Expand it to see them, or press AI: sort these. That opens a project-manager chat that sets a day for each, picks an owner by role and links each to the programme task it serves, then reports what it scheduled.

What happens on its own

  • The assistant reviews each job as it changes and adds, updates and dismisses tasks. Tasks it creates are marked as from the agent; tasks it owns show PM Agent.
  • The screen refreshes itself when anyone in the business changes a task or a programme, and the moment the assistant changes one in chat.
  • A task completed here fires the same events as completing it inside the job, so the week plan and the PM agent see it.
  • Lead follow-ups from the CRM appear alongside job tasks; they belong to the lead, not a project.

Things that surprise people

  • Tasks with no date and no milestone link are invisible on the timeline. They are not lost; they are in the Needs scheduling tray until someone (or the assistant) sorts them.
  • Dismissed and Done tasks leave this screen. There is no completed-tasks view here; look inside the job.
  • The Owner filter's Mine means tasks assigned to you by name. A task assigned to Anyone is in Unassigned.
  • The timeline is capped to the programme rows of the jobs it plots; a job with no programme shows a bar but nothing to unroll.
  • Send to AI is a handoff, not magic. The agent tries the task with the tools it has and reports back; some tasks come back as "needs a person".
