What it is

Every email your business sends, and the words it uses. There is one template per kind of email: the invitation to tender, the purchase order issued, the quote to a client, the progress claim, the payment reminder, a form to fill in, a client intake request, compliance documents required, and everything else. The page shows the real rendered email, large, produced by the same code that sends it, so what you see is what a subcontractor or client receives. Admins and team members can change templates; everyone else can look.

Before you start

  • Layout, branding and the plain-text version are handled for you. You change the wording.
  • Each kind of email has fields it must keep (the tender link, the claim amount). A template that drops a required field is marked as one that would not be used.

How to

Change what an email says

  1. Pick the email on the left. The preview shows it with sample data.
  2. Ask in chat: "we say cheers, not kind regards", "put the closing date at the top". The assistant edits the template and the preview updates while you watch.
  3. For a rare hand edit, open the HTML tab, change it, and press Save. If the assistant changes the template while you have unsaved edits, the update is offered rather than applied over your typing.

Check it on a phone and in dark mode

  1. Switch Desktop and Mobile, and Light and Dark. These show how the message reflows, not how a particular mail program rewrites it.
  2. Press Send test to me. The email arrives in your own inbox as a real send.

Go back to the built-in wording

  1. Press Revert on a template you have changed. Your version is discarded and the built-in one is used again. It asks first.

What happens on its own

  • The first time you open a built-in template it becomes your copy. Later changes Base ships do not touch it.
  • Every send uses the template current at that moment. Changing a template changes the next email, never one already sent.
  • The subject line is part of the template and is previewed with it.

Things that surprise people

  • A template that loses a required field is marked "This template would not be used", with the reason under it. Fix the field and save.
  • The preview is the real render, so if it looks wrong here it will look wrong in an inbox.
