Business profile
The Business Profile is who your business is and how it works. Every field on it is read by something: the letterhead on a quote or purchase order, the context the assistant estimates and programmes inside, a licence lookup, a plan check. It has five tabs. Business holds your identity and any other trading names you send documents as. Terms & Conditions holds the terms your quotes and contracts carry. How you work tells the assistant what you build, what you self-perform and how you like plans read. Team (shown when there is more than one of you) records what each person does, so the assistant delegates to the right person. Compliance records the figures your plan checks are held to.
Everyone can open it. Only an admin can change the business details; anyone can set their own role.
- Nothing. This is usually the first settings page a new business fills in, and the dashboard's setup checklist points here.
- To change the business identity, trading names, terms, site start time, team roles or compliance figures you need to be an admin. Everyone else sees those read-only and can still set their own role under How you work.
- On the Business tab, fill in your trading name, ABN, ACN, QBCC licence (shown when your business or a live job is in Queensland), phone, website, address, the email documents should carry and a one-line tagline.
- Press Save identity.
Every generated document (quotes, scopes, notices, purchase orders) resolves its letterhead from these at the moment it is produced. Beside the form, a checks panel reports whether the ABN, ACN and licence are current and asks Are these numbers current? when a lookup disagrees.
- Still on the Business tab, under the trading identities card, press Add a trading name.
- Fill in the Business name, ABN, Business email, phone, address, website, ACN and Licence number, and optionally a Tagline, its own Payment terms (one per line) and Payment details as they should appear on an invoice. Leave a field blank to fall back to your main business's.
- Press Add trading name (or Save when editing one).
A fitout company with a joinery arm can quote the same job under two names and two ABNs; the New document screen asks which. Removing a trading name asks you to confirm, and any documents already sent as it fall back to your main letterhead.
- Open the Terms & Conditions tab and press New terms.
- Give the document a title and build it as sections with numbered clauses and sub-items. Tick Tick for every new quote and contract if it should be a default, and if you have more than one trading name choose Every business or Only one of them.
- Press Add terms (or Save when editing). In the list, the Default tick on each document can be changed later, and the arrows reorder them.
If your quote wording still lives in Document Studio's quote settings, press Import from quote settings to turn it into a terms document here for you to check before saving. Removing a terms document asks you to confirm; documents already sent keep the terms they went out with.
- Open the How you work tab.
- Pick the trades you do. Each trade is three-way: self-perform (your own crew), subcontract (you manage it, a sub does it) or not set. This is the distinction the assistant uses to scope estimates and programmes.
- Pick the building types you work on and add anything the tiles miss in the free-text box ("SE QLD only, we never do live hospitals").
- Choose the estimating mode a plan PDF goes to: Ask me each time, Commercial fitout, Residential or Steel fabrication (stairs, balustrades). Choose the plan-reading speed: Standard or Faster (costs more).
- Describe your own role, from the tiles and in your own words.
- Press Save.
The business description and your role become the context the assistant carries into every conversation.
- Under How you work, in the site start time card, enter the time your sites start.
- Press the save button. Press the clear button to remove it.
Late starts on booked site days are judged against this time with thirty minutes' grace. With no time set, late starts are not judged.
- Open the Team tab (it appears once there is more than one person in the business).
- Type a role description against each person ("Site supervisor — runs the trades, books inspections") and press the save button on the row.
The assistant routes tasks by these descriptions. A blank one quietly degrades the routing, so the tab counts how many are missing.
- Open the Compliance tab. Each row names a standard and a figure the plan check needs (lighting levels, exit-sign spacing and so on).
- Enter the value from your own copy of the standard and the clause it came from.
- Press the save button.
Base ships none of these numbers because the standards are licensed text. Until a row is filled in, the matching plan check reports "unavailable", never a pass.
- Documents read the identity at render time. Change the ABN here and the next quote carries it; documents already generated do not change.
- The assistant reads the business description, trades, building types and your role in every conversation, and the team's role descriptions when it decides who a task belongs to. It can change the description and your role through its own tools when you ask it in chat.
- The dashboard's getting-started checklist, and a prompt after sign-up, ask you to fill in the profile. Skip for now on that prompt asks again in a week; saving dismisses it for good.
- The checks panel re-queries the business registers to confirm your ABN, ACN and licence.
- The identity card and the trading identities card are deliberately not the same form. Your main business is edited at the top; the trading identities card shows it read-only as what documents fall back to.
- Importing from quote settings does not delete the old wording. Templates that still print the one-per-line quote terms keep doing so until they are changed in Document Studio.
- Faster (costs more) is a preference, not a promise. Whether the faster plan-reading tier is used also depends on your plan.
- A compliance figure without a clause is a figure nobody can defend. The plan check quotes the clause back when it warns, which is why the field is there.
- Only an admin saves the business details. If Save identity is greyed out and you are not an admin, that is why.
- Team modules decides who can see what; this page decides what the business is.
