Billing

What it is

Billing is your Base subscription: the plan you are on and what it includes, the seats, any discount code applied, how much of the month's AI allowance has been used and how to top it up, and every invoice and receipt Stripe holds for your organisation. It has two tabs: Billing for the plan and payment, and AI Usage for the allowance.

Every paid plan (Trade Account, Estimator, Builder, Automater) includes the whole platform and the whole team. The plans differ by the AI allowance and its rate.

Before you start

  • You need to be an admin. The page and the billing actions are admin-only, so a teammate cannot start a second subscription on their own profile.
  • Card details, cancelling, and the full invoice history are handled in Stripe's own portal, reached from this page with Manage billing.
  • An organisation on a manual enterprise agreement sees its plan here but changes it through Base, not through the buttons.

How to

See where you stand

  1. The status card shows your plan, whether it is active, and your renewal. If you have a Stripe subscription, Manage billing opens the Stripe portal to change the card, cancel, or download anything.
  2. Under it, the seats line reads "3 of 5 seats used" or "Unlimited seats" depending on the plan.

Change plan

  1. Scroll to the plan cards. Your plan is marked Current plan; each other card lists what it includes and its price.
  2. Press Switch to Builder (or Subscribe to a plan if you have none). A confirm shows what happens today, prorated for the rest of this period, and what you pay from the next renewal. Your current plan changes in place; no new subscription, no double billing.
  3. Confirm.

The status card, seats and AI allowance refresh to the new plan.

Add or release a paid seat

  1. On a plan that charges per seat, press + Add seat, or the release button to drop one you bought.
  2. Read the confirm line: the prorated charge or credit today and the new monthly figure.
  3. Confirm.

Seat controls appear only for an admin on a Stripe-billed per-seat plan. Unlimited-seat plans and manual agreements have nothing to adjust.

Apply a discount code

  1. In the discount card, press Add discount code (or Change code if one is already on).
  2. Type the code and press Check code. The card shows what it does and when it starts: with your next invoice, nothing charged today. If it replaces a current discount, it says so.
  3. Press Apply.

The code is attached to your live subscription and comes off future invoices.

Watch and top up the AI allowance

  1. Press the AI Usage tab. The meter shows how much of this month's allowance has been used, plus any top-up buffer; at 80% it warns in amber, and when the allowance is gone it says so in red. Below it, the breakdown shows where the usage went.
  2. To add more, choose an amount under Top up AI credits ($200, $500 or $1,000). Each shows what it adds as a percentage of your monthly allowance.
  3. Pay on Stripe's checkout. You return here with the buffer added.

A top-up is priced at your plan's rate and rolls over: it is spent only after the monthly allowance is used up. A lower plan is offered an upgrade first, because the higher plans buy the allowance at a better rate.

Download an invoice or receipt

  1. Under Invoices & receipts, every document Stripe holds for your organisation is listed newest first, with its number, date, amount and status.
  2. Press PDF to download it, or the view button to open it at Stripe.

Invoices are emailed to your billing address when they are issued. Anything older than the list goes through Manage billing.

What happens on its own

  • The AI allowance is monthly. When it is used up, and any buffer with it, the meter turns red and reads "You've used your monthly AI allowance. Upgrade for more, or top up below."
  • After a plan change the new allowance applies straight away.
  • A discount applies from the next invoice, never retrospectively.
  • The assistant can read everything on this page and open the top-up or an invoice for you. Changing seats, applying a code or switching plan needs your explicit yes in the chat, because each changes the bill.

Things that surprise people

  • There is no per-feature pricing. Every paid plan has the whole product; you are choosing an AI allowance.
  • A discount code does nothing today. Nothing is charged or refunded when you apply it; it changes the next invoice.
  • A top-up is not an upgrade. It adds a one-off buffer at your current plan's rate; the monthly allowance is unchanged.
  • Cancelling is in Stripe's portal, not on this page. Manage billing takes you there.
  • Right after subscribing the meter may read "Your AI allowance is being set up — this updates within a few seconds of subscribing." That is Stripe's confirmation still on its way, not an empty allowance.
  • Team modules for which teammates can use what the plan unlocks.
