Teams
Teams is the people in your business who log in to Base: the members and their org role, the invitations still out, how many seats you are using, and the teams (squads) you group people into so a job can pick its crew in one go. The owner or an admin uses it to bring people in and set what they are; everyone else sees who is who. Your own details are on Your profile, one click from the band at the top.
- The Teams module controls whether Teams appears in the nav (Settings → Team Modules).
- Inviting people and managing teams needs an Admin or Team org role. Inviting an admin, changing anyone's role, removing a member and deleting a team are admin-only.
- A staff invite (Team or Admin) takes a seat while it is pending. Seats come with your plan; Add seats on the Billing page when none are left.
- A Client invite needs at least one project ticked. Clients see only the projects they are invited to and nothing else in your workspace.
- Press Invite member.
- Type their Email address and, optionally, their Full name.
- Pick the Role: Team (the default), Admin or Client. For Team or Admin you can Add to team and, for Team, choose an Access preset, which lists the modules and actions it grants; the default is the starter module set. For Client, tick the Projects they can see.
- Press Send invite.
They get an email with a magic link and the invite is listed on the roster as pending, with who sent it and when it expires. If the email could not be sent, the invite is still saved and the message tells you to use Resend. Someone already in your business is added to the chosen team instead of invited. An email that belongs to another business is refused.
- On a pending or expired invite, press Resend for a fresh link, or Revoke to cancel it.
A member who was invited but has never signed in shows Resend login instead; press it to send them a new login link.
- On the member's row pick the new role from the dropdown.
- Read the consequence Base spells out. For a change to Client, tick the projects they may see.
- Press Confirm change.
Changing to Client removes all workspace access except those projects; changing from Client to Team removes the project restriction. A Team member's modules and actions are set under Permissions, which opens Team Modules for that person.
- Press the cross on their row and confirm.
- Press Manage all or scroll to Manage teams, then press New team.
- Give it a Team name, an optional Description and a Colour, and press Create team. You are added as its owner.
- Select a team in the left list. Press Add existing member and pick from everyone in the business not yet on it; press the cross on a member to take them off. Invite opens the invite dialog with this team already chosen.
- Press the bin in the team's header to delete it. Confirm.
A project links its crew from these teams on its Team tab, covered under Project team.
- Invitations expire after 14 days and free their seat; the roster keeps them with a Resend button rather than letting them vanish.
- Accepting an invite puts the person straight into your business with the role, team and modules the invite named. A client's projects become their portal access.
- Changing someone to Client revokes any AI connections they had, so a later promotion needs a fresh consent.
- The assistant can read the roster, open the invite dialog, create and delete teams, add and remove team members, invite people, resend or revoke invites, change roles and remove members, confirming with you before anything that affects a person.
- Team membership organises people; it grants nothing. Who can log in and what they reach is their org role plus their modules.
- The roles shown inside a team (owner, admin, member) are labels only.
- The last admin cannot be demoted or removed, and you cannot remove yourself.
- A pending staff invite holds a seat. Revoke dead invites to free them.
- A Client with no projects ticked sees nothing at all; the roster shows the count in amber so you notice.
- A Team member who has not been given any modules sees only the starter set. Admins always see everything.
