Defects

What it is

The Defects Register: everything logged during the defects liability period, where it is, how bad, who identified it, who is fixing it, when it is due, what it costs to rectify, and whether it has been verified as done, with before and after photos. The project manager and site supervisor keep it; practical completion and project close read from it.

Before you start

  • The Defects module is on (Settings → Team Modules).
  • To assign a defect to a subcontractor, the business is in Contacts with the subcontractor role (or you add it from the form).
  • Once practical completion is declared, the DLP dates appear at the top with the days remaining and the security held.

How to

Log a defect

  1. Press Log Defect (or Defect + photo from Site home, which opens the form with the camera ready).
  2. Enter the Description (required), Trade, Location, Severity (Minor, Major, Critical), Identified By (Client, FIU Inspection, Independent Inspector, Centre Management), the Responsible Subcontractor, a Due Date and the Cost to Rectify (ex GST).
  3. Add Before photos and press Log Defect. The defect is Open on the list with its photos; a due date in the past turns red and says overdue.

Move it along

  1. The status dropdown on each row steps it: Open, Assigned, Rectified, Verified, Closed.
  2. The camera on a row adds photos. Before the defect is rectified they are Before shots; from Rectified on they are After shots.
  3. The pencil edits the defect; After photos are offered when editing. The bin deletes it after a confirmation.

Filter the list

The pills count defects by status: All, Open, Assigned, Rectified, Verified, Closed. The stat cards give the total, how many are open or assigned, and the total rectification cost.

What happens on its own

  • Open defects are counted on the Handover page and block closing the project unless a reason is written.
  • With the defects automations on (the Automations button on the page), a defect marked rectified prompts a verification, and defects left open are chased weekly. You get a draft chase, never an automatic send.
  • The assistant can list, log and update defects from chat; the list refreshes and flashes what changed.

Things that surprise people

  • Closed should mean someone checked. Rectified is the sub saying it is done; Verified is you agreeing.
  • A defect with a photo and a room gets fixed. A one-line description gets argued about.
  • Declaring practical completion with open defects is allowed, but they are recorded as outstanding items and printed on the PC certificate.
  • Deleting a defect cannot be undone. Dismissing is not an option here; close it instead.
