What it is

Two screens that answer "how is this job going and what do I do next". The Dashboard is the one-page snapshot of a job: contract sum and margin, open tasks, documents, purchase orders, variations and open defects as tiles, the job's details, the next tasks, what the assistant has done recently, who is on site now, the site on a map, the job's money in a sentence, and the latest emails and texts. Tasks is the job's running checklist, kept as a board the assistant and your team maintain together. Both are for whoever runs the job. Neither needs a module switched on.

Under the job selector in the nav there is also a row headed Where this job is up to. It is the job's guide: the stages a job runs through as a checklist, ticked from real records (an estimate exists, a quote was sent, a programme was built), with the one thing to do next on top and a Take me there link to the page it lives on.

Before you start

  • A project exists. The dashboard shows zeroes rather than errors on a brand-new job.
  • The money card and the Margin tile need Job Costs, Cashflow or Claims on for you; without any of them the card does not appear and the tile shows the quoted margin.
  • Tasks need nothing else. A fresh job's first review is queued the moment the job is created.

How to

Read the dashboard

  1. Open the job's Dashboard. The Snapshot tiles each link to the page they count: contract sum, margin, open tasks, estimate lines, documents, purchase orders, variations, open defects. Open defects turn the tile red.
  2. The Margin tile reads the job's forecast margin from the finance position and says how it moved; with no position yet it shows the quoted margin and says so.
  3. Next up lists the six highest-priority open tasks. A task that carries a suggested prompt has a Run button that opens a new chat thread with that prompt and closes the task out when the assistant finishes.
  4. On site now lists everyone with an open sign-in, with how long they have been there; Roll call opens Site home.
  5. Location places the site on a map from the address (it geocodes the address the first time) and links to Google Maps.
  6. Money gives the job's position in a sentence and lists anything waiting on this job, each with a link to act on it. Recent comms shows the last five emails and texts; All comms opens the job's Comms page.

Add a task

  1. Open Tasks. Type into Add a task to the backlog… and press Add (or Enter).
  2. The task lands in the Backlog column. From its card you can start it, mark it done, dismiss it, delete it, or reassign it.

Work the board

  1. The three columns are Backlog (to do), Active (in progress, blocked or waiting) and Finished (done or dismissed). Finished tasks move to the Archive two days after they close; Show archive lists them, where they can be reopened or deleted permanently.
  2. The status button on a card steps it along: Start, Mark done, Reopen, Resume. Statuses are To do, In progress, Blocked, Waiting, Done and Dismissed.
  3. The owner chip (You, a first name, AI or Anyone) is a dropdown: pick a team member, Anyone, or AI agent to hand the task to the assistant.
  4. Hovering a card reveals the bell (Set an AI reminder: pick a date and time, press Set reminder), the lightning bolt (Add an event trigger: pick an event type; the assistant re-checks the task when that event fires on this job) and the chat icon (Open the chat this task came from).
  5. A task that carries a draft email or text shows a snippet; click it to read the full draft, edit the subject and body, and Approve & send or discard it. Nothing is sent until you approve.

Change how often the assistant reviews the job

  1. The AI review line at the top says the current schedule and the next run. Press Change.
  2. Pick a Frequency (Every 3 hours, Every 6 hours, Every 12 hours, Every weekday, Every day, Weekly (Mondays), or Off) and, for the daily and weekly options, a time. Press Save schedule.
  3. Review now runs a review straight away. New and updated tasks appear on the board as it works, usually inside a minute.

What happens on its own

  • On the schedule you set, the assistant reads the job (estimate, documents, programme, subbies) and reconciles the board: it adds what is missing, completes what is resolved and never duplicates an open task. A brand-new job's first review is queued automatically, so empty columns mean the assistant is working, not that there is nothing to do.
  • A task assigned to the AI is picked up and attempted with the same tools the chat has. It reports back as done, as waiting with something for you to approve, or as blocked with what it needs.
  • When a reminder fires the assistant re-reads the job first: it marks the task done if it resolved itself, bumps the priority if it became urgent, otherwise sends one short nudge in chat.
  • The dashboard refreshes itself when the assistant changes the job, its tasks, orders, documents or defects from chat.
  • Drafts the assistant writes wait on the task. It never sends an email or text from a background run.

Things that surprise people

  • The dashboard's money comes from the budget. A job with no budget lines shows zeroes, which reads like nothing has been spent.
  • The Margin tile falls back to the quoted margin when the finance position has nothing for the job yet; the hint under it says which it is showing.
  • Dismissed is not deleted. A dismissed task is kept for the record and archives after two days like a done one; Delete permanently is the only thing that removes it.
  • The most frequent review allowed is every three hours.
  • Where this job is up to is ticked from records, not from anyone saying a step is done. A step stays unticked until the thing it describes exists in Base.
