Site diary
The daily record of the job, composed for you from what actually happened: labour from sign-ins (who, for which company, how long), the weather, work from sign-off reports, orders issued, visitors, delays, safety notes, defects, forms and photos. The people who were there top it up with what Base could not see, and a supervisor finalises each day with their name and signature. A finalised day is frozen; corrections go on as revision notes. A day or a week prints to PDF. The site supervisor writes it; anyone with the job can read it.
- Someone is on site: an entry is created only when something happened (a sign-in, a report, a form, a site photo, a completed purchase order).
- To finalise, you are on the builder's team. A client reading through the portal can read and print, not write.
- In Add to the diary, pick the day (today, or any draft day) and what to add: Note, Delay, Instruction or Photo.
- A note is free text. A delay asks What held the work up, the Hours lost and, optionally, who or what caused it. An instruction asks who it was From and what the Instruction was. A photo takes a caption.
- Save. It appears on that day's card under its heading. What a person writes is kept when the day recomposes, marked edited.
On a draft day's card, each section (Work reported, Orders issued, Visitors, Delays noted, Safety, defects & forms, Notes) has an edit control. Change the text and save; the composer leaves an edited section alone from then on.
- On a draft day, press Finalise and sign.
- Enter Your full name and, optionally, your position, draw your signature and press Sign and finalise.
- The day is marked Signed with your name, the time and your signature. It can no longer be edited.
Press Add revision note, write the correction (for example, "The delay recorded was 3 hours, not 2 — pump log received from supplier") and save. The record above stays exactly as it was signed; your note sits underneath with your name and the time.
PDF on a day's card exports that day. Week PDF at the top exports the seven days ending on the most recent entry as one document.
- The composer drafts each day from the site record and recomposes it as the day goes on, never overwriting a section a person has written.
- Programme tasks due that day are listed as scheduled, never as work done.
- A draft nobody finalises is frozen by the system after three days and marked Auto-finalised and Not reviewed, so it is plain that no one checked it.
- The assistant can top up, open or finalise a day from chat ("Finalise the diary entry for today"); the page refreshes when it does.
- With the diary automations on, the day's close prompts the finalise and an incident on site is announced.
- A day with no sign-in, report, form, photo or completed order has no entry. The diary does not invent a quiet day.
- A finalised entry cannot be edited, by design: it is the record you send to a client or produce in a dispute. Revision notes are how it changes.
- A day marked Not reviewed was finalised by the clock, not by a person. It is honest about that on the PDF too.
- Labour hours here come from sign-ins and are for the record. Costed hours are the approved ones on Timesheets.
