Inspections

Inspections is a certifier's queue. Drop a lodged plan set in, and Base reads it, assesses compliance, values the works and drafts the findings, conditions and RFIs for you to review before anything goes back to the applicant. The queue shows every assessment the business has run and where each sits: running, awaiting your review, issued or failed.
- The Inspections module must be on for you (Settings → Team Modules). It is on by default for a new business.
- Running or changing an assessment needs the Inspections edit permission.
- Plans must be PDFs, one or more, each under the size limit shown on the form.
- To issue, the assessment needs the applicant's email. You can add it at the start or later on the assessment.
- The assessment runs in the assistant's chat, so the chat needs to be available to you.
- Press New assessment.
- Optionally type a Job / site title (read from the plans if blank), the Applicant name and Applicant email.
- Drop the plan PDFs into the box or click it to choose them. Remove any wrong file with its cross.
- Press Start assessment.
Base opens a new chat thread with the plans attached, creates the assessment and takes you to it. The queue polls while it runs, and the row shows its progress and stage. You can talk to the assistant the whole way through.
- The three figures at the top are filters: Awaiting your review (amber while anything is waiting, with the ex-GST value of works across them), Running now and Issued.
- Press a figure, or one of the pills below (All, Running, Awaiting review, Issued, Failed), to filter the list.
- Press a row to open it.
Each row shows the date, applicant, works value ex GST, the finding mix and, once issued, who it went to. A failed run shows its error.
On the open assessment the single primary button at the foot is the next step. It walks the four stages in the rail:
- Review & approve pages opens the plans so you work through each page.
- Set BA reference asks for the reference that goes on the approval stamp.
- Apply approval stamp stamps the plans.
- Add applicant email if none is recorded, then Issue to applicant emails the report bundle. If findings changed since the reports were generated, the button reads Regenerate reports first.
Along the way the tabs let you edit the summary, add or change findings, conditions and RFIs, pin notes to a plan page, and edit the works value and basis. Every edit is yours; Base drafts, it does not issue.
- Open the failed assessment.
- Press Retry, or Open chat to resume when the run has a thread but no task to retry.
- Press Document templates on the queue.
- Change the Decision Notice, cover letter, letterhead and your own signature and licence details.
The org-wide tabs are admin-only; Your details is personal to each certifier.
- The assessment itself: reading the plans, the compliance findings by severity, the valuation of works and the first draft of the conditions and RFIs. The queue refreshes every few seconds while a run is in flight.
- Once issued, the row records who it went to and when, and offers Download bundle.
- The assistant can list the queue, start an assessment from plans attached in chat and retry a failed one. It never issues without you pressing the button.
- Nothing is issued by Base on its own. The decision notice goes out when you press Issue to applicant, and only after the pages are approved and the plans stamped.
- Issuing needs an applicant email; the step will stop and ask for it.
- Works values are ex GST throughout.
- The assessment runs in chat. Closing the page does not stop it; the queue keeps polling and the row updates.
