Sign-in Locations
The workshops and offices where your in-house staff clock in from a printed QR poster on the wall. One poster per place is the whole setup. Site sign-in is different: each job has its own QR on the project, described under Crew and timesheets on a job and Site sign-in. Whoever runs the workshop or the office sets these up once.
- The Sign-in Locations module must be on for you (Settings → Team Modules).
- Adding, changing or deleting a location needs the Locations edit permission.
- Staff sign in with the same 4-digit PIN they use on site, so they need one from the Crew Roster.
- The branded poster comes from your Document Studio template; without one, a plain A4 sheet prints instead.
- Press Add Location.
- Pick the Type (Workshop or Office), give it a Name of at least two characters and, optionally, an Address to print on the poster.
- Press Add.
The location is listed under Workshops or Offices with its QR live.
- Press the QR icon on the row to open its sheet. The sign-in URL is shown beside the code.
- Press Print poster for the branded sign-in poster, Download PNG for the bare code, or Customise poster to edit the poster's layout, logo and on-arrival rules in the Document Studio.
The poster tells the person to scan, enter their PIN and pick the project they are working on.
- Press the QR ENABLED pill to make it QR DISABLED, and again to turn it back on.
A disabled location's poster stops accepting sign-ins and Print poster is greyed out until it is enabled again.
- Hover the row and press the pencil to change its type, name or address, then the tick.
- Hover and press the bin to delete it. Confirm.
Shifts already signed in at a deleted location keep working; its QR stops accepting new sign-ins.
- Scanning the poster and entering a PIN opens a shift at that location with no job attached. At sign-out the person splits their hours across the jobs they worked on, or marks the time as workshop, office, estimating, training, travel, leave or sick. Each split becomes its own shift row on Timesheets, filtered by this location.
- Only one open shift per person exists across the whole business. Scanning any QR while a shift is open signs that shift out, and a shift nobody closed is auto-closed after the end of its day and flagged on Timesheets.
- The assistant can add, rename, move or delete a location, switch its QR off or on, and open, print or download its sheet.
- Time at a workshop or office is not overhead by default. Hours the person allocates to a job at sign-out are costed to that job once approved; time marked workshop, office and so on posts to the business's overheads.
- A location's QR encodes a fixed link. Deleting and re-adding the location means a new poster.
- Visitors do not sign in here. The workshop and office QR is PIN-only, for your own crew.
