What it is

The supervisor's page, built for a phone. Who is signed in right now, grouped by company and with any gate warnings against them; who is booked today but not here; people asking for a PIN from the site QR; shifts that need tidying; and who was refused or warned at the gate today. Site in the nav outside a job goes straight to the site home of your one live job, or lists the live jobs to pick from (your own first, busiest first); switch job on the page brings the list back.

Before you start

  • The Timesheets module is on (Settings → Team Modules). The roll call is timesheet data.
  • To approve access requests you also need the Crew roster module, because approving sets a PIN.
  • The job has a QR poster at the gate (see Crew and timesheets on a job).

How to

Take the roll call

  1. Open Site home. On site now lists everyone with an open sign-in, by company, with when they arrived. A badge says Not inducted or Signed in twice where it applies, and a phone icon calls them.
  2. The chips under the heading say what needs attention: waiting for access, refused at the gate, signed in with warnings, booked but not here, shifts to tidy. Tap one to jump to it.
  3. Sign out on their behalf sets a sign-out time for someone who has left. Enter the time (site time) and Save.

Approve someone asking for access

  1. Under Waiting for access, each request shows the name, mobile and when they asked.
  2. Approve and text PIN picks a PIN and texts it to them; they can then sign in at the QR. Decline removes the request after you confirm.

Tidy shifts

Under Shifts to tidy: Set sign-out for someone still signed in from an earlier day (the standard break is applied); Merge into one for someone signed in twice today (keeps the first sign-in time, closes the extra at zero hours); Set real sign-out for a shift that was closed automatically at 11:59 pm, before the hours are approved.

Check the gate

Booked today lists companies booked on site from the programme, marked Not here or Left site. At the gate today lists each refusal or warning with its reason (no SWMS, insurance expired, no white card, not engaged on this job, and so on).

Capture something quickly

Three shortcuts at the top: Diary note opens the Site diary, Defect + photo opens a new defect with the camera ready (Defects), Incident opens the incident form.

What happens on its own

  • Shifts nobody signed out are closed automatically at 11:59 pm and listed under Shifts to tidy rather than quietly accepted.
  • Gate checks run at sign-in from the subcontractor's compliance documents and the worker's tickets. A refusal or a warning is recorded against the day.
  • The page refreshes itself when a shift changes.

Things that surprise people

  • A worker who says they are not fit for work on the gate form is still let in. The shift records it and the supervisor is told; the gate does not turn them away.
  • Hours are approved on the company-wide Timesheets page, not here. Nothing costs to the job until they are.
  • Tidy the auto-closed shifts before the hours are approved; an 11:59 pm sign-out approved as-is becomes paid hours.
